We have had quite a year! COVID-19 has changed the way many of us go about our days, and life at Boelman Shaw is no exception. We have made the decision to provide contact-less service to our clients this tax season. The safety of our staff and clients is very important to us, and we will continue to provide you the excellent customer service you are used to – though it will look a bit different this year. Details of our new 4 step process are as follows:
Please upload your materials online at boelmanshaw.smartvault.com. As an alternative, you may drop your tax information in our secure drop box located outside the building during business hours. If needed, envelopes and an additional drop box are available inside the front door of our building, we've also included a downloadable copy here. It is VERY important to provide your information by the “Drop off or Upload date” so we can provide you the excellent service you are used to!
Your preparer may contact you with questions they have once they receive your materials. Your preparer is very familiar with your tax return but we understand there may have been changes or unusual items to discuss. If additional meeting time is needed your preparer will be happy to schedule a virtual appointment (phone or video) at your request.
After a quality review, your preparer will contact you to finalize any remaining details.
You will sign your return online with DocuSign. We will e-mail you signature forms, and you can click, type or sign your name to submit your signatures – it’s easy! You will have access to your tax return electronically in our NEW Smart Vault secure portal. Tax returns, W2 and supporting information will remain available to you for years to come in Smart Vault.
As an alternative to DocuSign, we can mail signature forms to your address. You will need to mail or drop off completed forms, and upon receipt, we will electronically file your tax return.
As always, we cannot e-file your returns until all fees are paid.
As discussed in step 4 of our process above, we are now using Smart Vault to store tax returns and additional client information. This is a fantastic improvement from our old secure portal, as you’ll have access to this information for years to come – any time! In early January 2021 you will receive an e-mail inviting you to create an account with Smart Vault. Please do that right away to avoid any delays utilizing this new service.
In the mail you received a large envelope with a checklist of items on the outside. This envelope is intended to assist you in organizing your tax documents if you chose to drop off at our office. We hope you find the checklist useful, and we look forward to serving you. Again, please take care to provide your materials by the Drop off/Upload By date on your appointment card.
